Position: Administrative Coordinator
Position Type: Fulltime, non-exempt
Reports To: Director of Operations
Pay Range: $17.00/hr
Location: 8825 Aero Drive, Ste 200, San Diego, CA 92123
Description of Responsibilities: The Administrative Coordinator will be the first point of contact for the organization by answering incoming phone calls & greeting all visitors to the office. This position is responsible for maintaining office supplies; provide assistance with projects for special events, prevention education & burn survivor support programs; facilitates the scheduling & the upkeep of office conference rooms & vehicles. Will also be responsible tasks related to:
Volunteer Management – Process & orientate new volunteers to the organization. Engage volunteers to fulfill prescribed needs for events & programs. Develop methods to further engage volunteers.
Development – Enter & maintain Gifts & Donor information. Create & mail Thank You letters to be sent out for donations or participation in various events throughout the year.
Program Management: Coordinate Emergency Preparedness in the Workplace trainings. Schedule trainers & maintain supplies for program.
Bookkeeping: Assist with accounts payable processes and account reconciliations.
Required Experience: Administrative and general office experience (in a non-profit setting a plus).
Required Skills: Excellent written, verbal and organizational skills required. Experience with Salesforce and QuickBooks is required. Must have the ability to work independently and also effectively communicate with co-workers, supervisors and the public. Must have good administrative computer skills. Bilingual (English/Spanish, speaking/writing) a plus.
